Mandatory Stay Weekends for the 2025-2026 School Year

These weekends will be fully or partially mandatory stay weekends for our boarding students for the 2025-2026 School Year: Mandatory stay means that boarding students should expect to remain on campus for the entire weekend or until posted by the Student Life Office

  • August 29th- September 1 - Labor Day Weekend: Class Challenges and first weekend of school
  • December 12th-14th: Last weekend before Christmas break
  • April 25th-26th: International Festival
  • May 15th-17th: Class Challenges, General Inspection, Exam Study, Dorm Chapels
  • May 23rd: Baccalaureate and Class Night
  • Any open dorm, your child's dorm is the host (once in the fall and spring term). They may leave after the conclusion/clean up of their open dorm or service event, whichever concludes last.
  • Some weekends may be partially closed due to mandatory athletic events. The Athletic Office and Student Life Office will work together to notify the students parents no later than two weeks prior to the date selected as a mandatory match or game.
Stateside Emergency Contact

Remember, your health and safety is our first priority! Please read our Stateside Emergency Contact Policy carefully:

All boarding students are required to have a local guardian who is able to pick up and house their children for the reasons listed. All guardians will be contacted to verify that they are willing and able to meet our requirements as a boarding school. If you cannot provide a reliable and able local guardian, we recommend Student Health Advocates. This is to ensure that our students are receiving the best care while not under our watch

  • For severe illness, health emergencies, or if quarantine is necessary, the student must be picked up from campus within 24 hours of contact. The Stony Brook School will not have the ability to quarantine students as our dormitories will be at full capacity during the 2025-2026 school year.
  • In the event that a student is found to have violated a major school rule and is suspended or dismissed from the School, the student will be required to leave campus the same day.
  • The local guardian should also be able to provide housing when the campus is closed over major breaks (Thanksgiving, Christmas, and Spring/February Break)
  • In the case of a mental health emergency, the parents are responsible for picking up their child within 24 hours (domestic parents) and within 48 hours (international parents). In this instance, the parents, only the parents, will need to pick up their student directly from campus.

Submitting Payment

To make a payment for the 2025-2026 school year, please submit payment directly to Blackbaud Tuition Management or you can call Blackbaud Tuition at 888-868-8828

Transportation
Complete your requests for Bus Transportation. If you are using Public School Bus Transportation from your local district, please reach out to your district's Transportation Department and fill out the documentation for transportation for the 2026-2026 academic year no later than April 1st
The Portal

The Portal is the primary means for students and families to view information about class progress, assignments (including summer assignments), individual calendars, school events, and other resources for day-to-day life at SBS. New families should receive Portal logins before June 15th, 2025.

It is also how you will access the Health Forms, Handbooks, and Back-to-School Forms.

Parents can use their email address as their username to log into the portal. Students are required to log in with their SBS email addresses or SBS-ID.

School Email

Every student will be set up with a Stony Brook School email and an SBS-ID login for the school portal. Information will be sent out to the parents of incoming students at the beginning of June. New parents will also be granted access to the portal at that time. Students who enroll after June will be sent their information within a week of enrollment.

It is good for students to check their SBS email occasionally, as the school will be sending important information to students' SBS email accounts.

Technology Requirements

The school does not specify any particular computing device. Each student should have access to an internet-ready computing device with a physical keyboard. Smartphones can be used for checking emails and looking up information, but each student will need a larger device for school assignments. Please email the Tech Services Department at techsupport@sbs.org if you have any questions.

Back to School Forms

Back-to-school forms will be available on the Portal by June 15th. As families log in, they should see a yellow notification bar at the top of the page, informing them of the forms that need to be completed and their respective deadlines.

Health Forms

All health forms will be available by the end of May and are to be submitted through Magnus Health via the Portal. Parents can access Magnus by logging into the Portal and selecting "Resources" and then "Magnus Health". This is not required for students who applied to our Gravitas program (completely online for the whole year).

Please note that students fo not have access to Magnus Health. Through Magnus, you can download the forms, update vital health information, and access your submitted forms throughout the year. You can upload your forms online, fax, or mail them to Magnus to update our child's records. Please do not submit paperwork to the School.

Placement Tests for Math and Language 

Placement is usually determined by the student's transcript and teacher recommendations. However, the Academic Office may reach out to you and request a skills test to help confirm the correct placement.

Textbooks and School Supplies

Textbooks may be purchased through the online bookstore beginning in July 2025.

Please note that some courses have course fees, and the online bookstore is the only location where course fees may be paid. You may choose to purchase your textbooks from any online vendor using the ISBN numbers found on the School's textbook list. Exact editions or translations are required.

If you are a resident of Suffolk County, then your textbooks may be provided free of charge through the BOCES program if you follow the action steps in this document. Textbook applications will be submitted on your behalf, and you will receive an email when they are ready to be picked up in July or August. If you are a resident of New York but reside outside of Suffolk County, New York State may provide your textbooks free of charge. Please follow the instructions in this document to contact your local school district to arrange your book order.

Textbooks provided by school districts are loaned and must be returned to the district at the end of the school year. Students are not allowed to write in or highlight these books. The district will bill you for defaced or lost books.

For Residents of Nassau and other NYS Counties

  • Confirm that your student is verified in the BOCES system for textbooks with the Registration Office of your residential school district. Each school district will be approving all nonpublic school students electronically. BOCES will not supply books without this verification.
  • Textbooks will not be guaranteed by the start of the School year for course changes (including placement in Math and/or Language) that occur after July 1st. 
  • SBS will order books on your behalf with sufficient notice (typically by mid-June). If we are unable to do so, you may place your order with your local school district. The order will then be fulfilled by BOCES contingent on budgetary and supply availability.BOCES will contact you via email when your book order is available for pick up at your local school district. 
  • If you reside in a borough of New York City, you may be eligible to receive some textbooks through the NYC school system. SBS may be able to order books on your behalf with sufficient notice (typically by mid-June), however please note that the NYC nonpublic school textbook program historically has had challenges fulfilling orders for students. 

Please note that New York City will only provide physical textbooks and workbooks, and does not match eBooks or online access codes. Please be aware that you are responsible for ensuring that your child has any books not provided by New York City at the start of the year.

 

Registering for Classes

For new families, please submit the completed transcript from your child’s previous institution to the Registrar’s Office at registrar@sbs.org. Students will need to submit their completed transcript before formally registering for classes at SBS.

Please find information on the Course Registration process for new students at this link. Returning students have already submitted course requests and will be able to add/drop classes beginning in mid-August.

Once the F-1 visa is received, please email a copy to our DSO.

If you cannot get an F-1 visa or travel restrictions prevent you from entering the U.S. to start classes in August, please contact our DSO at admissions@sbs.org
